Brentwood Solutions Group (“BSG,” “we,” “us”) is a structural engineering firm based in Providence Forge, Virginia, and the parent company of Brentwood Inspect. This policy explains what information we collect through brentwoodsolutionsgroup.com and when you book or work with us, how we use it, and the choices you have.
Information we collect
- Contact and project details you give us: your name, email, phone number, the property address, details about the property and project, your role (for example buyer, owner, agent, or lender), and anything you send us by email, phone, text, or through our booking form.
- Files you attach: photos, earlier reports, or other documents you upload with your booking. They’re kept in a private folder on our website, not on a public page.
- Feedback: ratings and comments you send us after your visit.
- Agreement records: when you sign an agreement online, we keep the signed text along with your typed name, the date and time, your IP address, and your browser type, as a record of the signature.
- Site visit and engineering records: photos, measurements, notes, and the reports, letters, or certifications we prepare about the property.
- Payment information: online payments (card, bank account, or Klarna, Zip or Afterpay if you choose them) are handled by Stripe and, for pay-later options, the provider you choose. Payment details go directly to them and are never stored on our website. Stripe tells us whether a payment went through and gives us limited details such as the payment type, card brand and last four digits. If you pay by cash or check, we record the amount and any check number.
- Website usage: we use Google Analytics to understand how visitors use the site, such as pages viewed, approximate location, device and browser type, and how you found us. See “Cookies and Google Analytics” below.
How we use it
- To schedule and perform site visits, prepare and deliver reports and certifications, and send agreements, confirmations, and invoices. This includes automatic emails about your booking: a reminder the day before, a reminder to sign your agreement if it isn’t signed yet, an offer to order a written report after a visit where you didn’t order one, and, after your report is delivered, one email asking how we did.
- To let you reschedule, cancel, order a report, or download your report through private links in our emails.
- To calculate your price, which depends on the property’s details and driving distance from our office, and to plan our driving schedule and keep mileage records.
- To answer questions and keep in touch about your project.
- To meet legal, professional licensing, insurance, and recordkeeping obligations.
- To improve our website and services.
We do not sell your personal information, and we do not share it for other companies’ advertising.
Who we share it with
We share information only as needed to do the work you asked for and run our business:
- Brentwood Inspect, our home inspection company, when its inspector collects field data for a BSG engineer, or when you ask us to coordinate with it.
- People you ask us to include, such as your lender, real estate agent, or attorney. If an agent or lender books for you, they receive a copy of the booking confirmation. If you name someone to receive a copy of your report, we email it to them when it’s delivered.
- Service providers that help us operate: Stripe (payments), Klarna, Zip and Afterpay (only if you choose to pay with them), Google (website analytics, address lookup and driving distance, calendar, and email), RentCast (public property records used to pre-fill details such as square footage and year built), Hive Inspect (inspection and reporting software), and Hostinger (website hosting). They may use the information only to provide their services to us.
- Authorities or others when required by law or legal process, or to protect our rights, our clients, or the public.
Cookies and Google Analytics
Our website uses cookies, small files stored by your browser. Google Analytics uses cookies to collect the usage information described above, which Google processes on our behalf. To learn more, see How Google uses information from sites or apps that use our services. You can opt out with the Google Analytics opt-out browser add-on or by blocking cookies in your browser settings. The site still works without them.
If you use our online booking form, the address you type is sent to Google to suggest matching addresses and calculate driving distance, and to RentCast to look up public property records.
Our website does not currently respond to browser “Do Not Track” signals.
How long we keep it
Agreements, reports, certifications, and related project records are kept for as long as professional licensing, insurance, and legal requirements call for, which is often many years. Other information is kept only as long as it’s needed for the purposes above.
Your choices
You can ask to see, correct, or delete the personal information we hold about you by emailing Jeremy@Brentwood-Solutions.com. We’ll respond within a reasonable time. Some records, such as signed agreements and sealed reports, may need to be kept for legal or licensing reasons.
Security
We use reasonable safeguards to protect your information, and payment details are handled only by Stripe and any pay-later provider you choose. Reports and files you upload are stored in a private folder on our website, and reports are downloaded only through private links sent to you and the people you authorize. No website or email system is completely secure, so please avoid sending sensitive information like Social Security or bank account numbers by email.
Children
Our website is not directed to children under 13, and we do not knowingly collect personal information from them.
Other websites
Our site links to other websites, including Brentwood Inspect and social media. Their own privacy policies apply when you visit them.
Changes to this policy
If we update this policy, we’ll post the new version here and change the effective date above.
